Using the Software

Track Reserve helps your company organize assets, manage responsibility, document equipment condition, and maintain a searchable activity history.

Assets and locations

Add your active locations first, including offices, warehouses, vehicles, equipment yards, and jobsites. When adding an asset, assign it to the location where it is currently stored or used.

Include identifying information such as the asset name, manufacturer, model, serial number, condition, value, and photograph.

Temporary jobsites can be retired when they are no longer needed. Move their remaining assets to active locations before retiring them.

Scanning QR tags

Use your phone’s camera or the Scan page to open a tagged asset. If the QR code cannot be scanned, enter the full number printed on the tag.

Checkouts and returns

Checking out an asset records who is responsible for it and when it should be returned. Select an appropriate return time or enter a custom return date when available.

When an asset is returned, confirm its location and condition. Report any damage instead of returning unsafe equipment to available status.

Damage and repairs

Use Report Damage when equipment is damaged or unsafe. If it is sent for service, use Send for Repair to record the change.

After a successful repair, complete the repair workflow and return the asset to service. Changing its condition alone may not change its operational status.

Missing and recovered assets

Use Mark Missing when an item cannot be located. If it is recovered, record the recovery, inspect its condition, and return it to the correct location.

Asset history

Use the available actions instead of manually forcing status changes. This preserves an accurate history of checkouts, returns, movements, damage, repairs, and other activity.
